Dedicated and shared teams

A named person who works your hours, on your systems, under your company name. Not a ticket queue and not a call centre.

Most outsourcing in this industry is sold by the task. You send work out, somebody you have never met does it, and it comes back. That works for data entry. It does not work for dispatch, because dispatch is judgment built on knowing your drivers, your lanes and which receiver takes four hours.

A dedicated team is the other model. You get a specific person. They learn your operation, they work the hours you need covered, and they sit inside your systems rather than beside them. Your drivers know their name. Your brokers deal with them as part of your company, because that is what they are.

The difference from hiring locally is the loaded cost, which is a fraction of the North American equivalent, and the fact that covering nights and weekends stops being a staffing problem you cannot afford to solve.

What is included

  • A named primary person, introduced to you before they start
  • A named backup who knows your account and covers holidays and sick days
  • Work performed inside your TMS, your load board account and your email domain
  • Hours set by you, including overnight, weekend and split-shift coverage
  • A written shift handover at the end of every covered period
  • A direct line to a supervisor when something needs escalating
  • Onboarding on your SOPs, your lanes, your brokers and your drivers

Full-time dedicated, or shared

There are two shapes, and the right one depends on how much work you actually have.

Full-time dedicated. One person, working only on your account, for the hours you set. This is the right fit when you have enough volume to keep somebody busy, or when the work needs continuous attention rather than attention in bursts. In outsourcing this arrangement is sometimes called a captive team, meaning the seat belongs to you and to nobody else.

Shared. The same named person, working across a small number of accounts rather than one. You still get a specific individual who knows your operation, at a lower monthly cost, with the understanding that they are not sitting idle waiting for your next call. This arrangement is sometimes called semi-captive. It suits carriers running a handful of trucks, or a brokerage that needs proper coverage on a function that does not fill a whole day.

Most accounts start shared and move to full-time when the volume justifies it. Moving between the two does not mean changing people.

What it looks like on your side

You create a user on your TMS. You create a mailbox on your domain. You add a named user to your load board subscription. That is the setup.

Everything your dedicated person does happens in those accounts, which means you can see all of it without asking anybody. The search history is in your load board account. The emails are in your mailbox. The load records are in your TMS. If the arrangement ever ends, nothing has to be handed back, because none of it ever left.

What stays with you

We run the desk. We do not run the business.

Rate decisions above a threshold you set, driver discipline, hiring, anything touching your safety rating, and the decision to take or refuse a customer all stay on your side of the line. Our people bring you the information and the recommendation. You make the call.

That is not a limitation we are apologising for. It is the arrangement that keeps a carrier in control of its own operation, and it is the reason the relationship lasts.

Common questions

Questions we get asked

Will the same person handle my account every day?

Yes. You get a named primary and a named backup, and you meet both before they start. The backup works your account regularly enough to stay current, so holiday and sick cover does not mean starting from scratch.

What hours can a dedicated seat cover?

Any hours you set, including overnight and weekends. Our team is in India, so North American nights are our daytime. That is the reason overnight coverage is not priced as a premium shift.

Do you work in our systems or your own?

Yours. Your TMS, your load board subscription, your email domain. We do not maintain a parallel record of your business, and we do not hold anything you would need to ask for.

What is the difference between a dedicated and a shared seat?

A dedicated seat works only on your account. A shared seat is the same named person working across a small number of accounts, at a lower monthly cost. Both give you a specific individual who knows your operation.

How long does it take to get someone up to speed?

Two to three weeks for a person to be running normal work unsupervised, longer to build the judgment about specific brokers and receivers. We shadow your existing process during the first weeks rather than replacing it on day one.

Tell us what is falling through the cracks

A short call is enough to work out whether a dedicated seat, a shared seat or a single service is the right shape. No commitment, no pressure, and we will say so if we are not the right fit.
